Minutes of Board Meeting - Date: October 3, 2004

Attendance: Radhika, Sudha, Devshi, Parminder and Ashu

Non Profit ID#. It was acknowledged that we have received our Non- Profit ID# from the IRS. As such, we can now issue receipts for all
donations received. It was also suggested, and agreed to state the ID# on the MIAA web-site. Ashu will send the ID# to Devshi who will
post it on the web-site.

Receipt Format. It was agreed to create a Receipt Form Letter that can be used for issuing receipts for donations received. Such form
should be uploaded on the MIAA-BOARD yahoo group. Sudha will create the form, and upload it on the yahoo-group.

Membership. It was agreed to update the membership list, and ensure that the membership list is current. Devshi will be in charge
of the membership roaster, and will update it.

Next Meeting. Next Board is scheduled for January 2005.

Board Meeting Minutes. It was agreed to post all the Board meeting minutes on the web site. If possible, previous meeting minutes
should also be posted; but surely, in future, all meeting minutes should be posted on the web site. Sudha will upload the minutes to
the yahoo-group; and Devshi will post them to the web-site.

Outgoing Members. It was recognized that both Ashu and Sudha's terms will expire on June 30, 2005. The process to filling the
vacant Board Member seats should be initiated by early next year. While the Board membership is open to all members of the MIAA who
wish to run for it, it was agreed that the out-going members will try to identify replacement candidates as a starting point. Tentative
schedule to fill the Board Members seats will be to receive nominations by the end of March 2005. Nominations to be formally
accepted in April 2005. Elections (if necessary) can be held in May, and outcome to be decided and announced by early June.

Vasant Utsav 2005. Considering all the possible conflicts with Spring Break recess, following is what was concluded as possible
dates:

Saturday, March 19th. First preference.
Saturday, April 23rd. Second preference.
Saturday, April 30th. Third preference.

The venues considered were the following –
Jewish Community Center.
San Rafael Community Center.
Corte Madera Rec. Center.
Marin Center.
Any other venue that will accommodate 300-350 people.

Following were the comments regarding each venue –

JCC. It would accommodate from 320 to 340 people. The Stage is excellent, and the premises was very good. However, it would be
important to have a large pool of volunteers to ensure that kids don't drift to areas of the center which will not be open to us; The
possibility of damaging the premises is a concern.


San Rafael Center. Holds about 300 people. Limited space is an issue.


Corte Madera Rec Center. Hold about 350 people. Not large enough to accommodate more people, but a bit bigger than San Rafael Center.

Marin Center. Large enough to accommodate 450-500 (and more) people. But not available on the dates we are looking for. This is
definitely a venue to look at for Vasant Utsav 2006 as it provides for a much larger participation from the community. But, at the same
time, it is a much larger commitment of financial (sponsorships) and volunteer resources.

Views were expressed about the scope and format of the next Vasant Utsav. It was recognized that every year the Vasant Utsav has been a
sell-out event. As such, there is a need to expand the participation in Vasant Utsav by finding a bigger venue, and also a larger pool of
volunteers to help with the smooth execution of the event. After much deliberation, it was recognized that neither did we have a venue
(with workable date/s) nor was the board comfortable with availability of a large pool of volunteers to increase the size and scope of Vasant Utsav 2005. As such, it was agreed upon that this year, we will restrict the venue which can accommodate about 300-350 people. Parminder will follow up with various venues to check their availability and report back for final decision. However, the Board will start to plan for making Vasant Utsav 2006 a much bigger event.

Outreach/Community. The role (and scope) of MIAA activities was reviewed (questioned ?) in the context of whether MIAA needs to / can
do more than the one annual event (Vasant Utsav). There was consensus that more can be done, and should be done; but, it requires
many volunteer hours which are currently lacking. It was recognized that we need to find ways to engage the community more than it has
been, and during the course of the year (with some more events).

Marin Balavihar. Proposition was put forth that if Balavihar were to take place on Sunday afternoons (instead of Sunday mornings),
it would require financial commitment from participating families. The charges would be approximately $120 per quarter per family.
There was general reluctance among the Board members to go for this option. Alternatively, it was agreed upon to look for grants and
sponsorships to come up with funds for this activity. Radhika will follow up with various resources and revert with such possibilities.
Meanwhile it was agreed to start the Balavihar sessions (2004-2005) on Sunday mornings at the YMCA, while still looking for a place for
evening sessions.
